Product Update - Faster search, sharper chronologies and the Chat with Docs pilot

August makes dashboard search quicker to update and more accurate, sharpens the accuracy of paginated bundles and chronologies, and opens the Chat with Docs pilot.

An edit you make now shows up in search quickly, even while a large import is running, and search keeps up with a wider range of changes to contacts and claimants.

When you change something on a case, search takes a moment to catch up. That wait used to sit behind bulk imports and other large operations, so an edit made by a case handler could take a long time to appear in results. We have moved your edits to the front of that queue, and widened the set of changes search follows on its own.

What's changing?

  • Your edits come first: a change you make in the dashboard now takes priority, rather than waiting behind a bulk import.
  • Large imports catch up faster: claims, contacts and their details are processed in groups, so search reflects a big import much sooner.
  • Updated contact details find their claims: after changing a contact's email address or other details, searching the new details now returns that contact's claims.
  • Claimant changes reach the claim: adding a claimant, removing one, or changing their relationship type is now reflected in search, as is editing a claimant who is not the case administrator.
  • Contact organisations: linking a contact to an organisation, or removing that link, is now picked up by search.
  • Partial claim names: searching part of a claim name, such as a reference like 'ABC12345', now returns the claim.
  • Nothing lost along the way: a record edited while search was catching up in the background is no longer missed, and neither is an edit that lands at the same moment as another.

What stays the same?

  • Which records you are allowed to see is unchanged.

The benefit?

  • What search shows you matches what is actually on the case, and it matches it sooner.

More accurate pagination and chronologies​

Chronologies can now be read side by side with the bundle they cite, and a run of accuracy work has improved how reliably a citation matches its page.

Three releases through August went into Paginated and Indexed Bundles and Focused Chronologies, most of it aimed at the accuracy and reliability of what comes out.

What's changing?

  • A chronology beside its source: a chronology now opens in the viewer with its Paginated and Indexed Bundle alongside it, so a citation can be checked against the page without juggling two documents. Citations are formatted the same way across chronologies, medical summaries and hearing loss reports.
  • Better page coverage on large bundles: on cases made up of many small documents, reading is now guided by an accurate picture of the bundle and prioritised properly, so more of it is covered.
  • Faster bundles in the browser: paginated bundles are now produced in a form the viewer can load a page at a time, so a large bundle opens quickly instead of downloading in full first.

What stays the same?

  • Nothing changes in how you submit documents for pagination or a chronology.

The benefit?

  • A citation in a chronology can be checked in seconds against the bundle beside it, and matches its page more reliably.

Chat with Docs, now in pilot​

Ask a question about a case's Paginated and Indexed Bundle in plain English and get an answer taken from the records, with a citation to the page it came from.

Chat with Docs is now live for pilot customers. It is opened from the Documents Panel using the 'Chat with document' menu item on cases where a Paginated and Indexed Bundle has been generated and its text extracted, and gives you a two-panel view: the source PDF on the left, your conversation on the right.

What's changing?

  • Answers grounded in the bundle: chat answers only from what is in the case records. If something is not there, it says so rather than filling the gap from general knowledge.
  • Citations you can check: citations appear as small page markers inline in the answer text. Click one and the document panel jumps to that exact page.
  • Readable replies: paragraph breaks, bullet lists and numbered lists in an answer are preserved, so a long answer is easy to scan.
  • Clear limits: there is a 500-word limit per question, and a question over that limit now tells you so instead of appearing to hang.
  • Bundles enabled automatically: when a Paginated and Indexed Bundle finishes generating, its text is extracted in the background so chat becomes available on it.

What stays the same?

  • Chat with Docs is read-only. It never changes documents, notes or case data.
  • Your existing document permissions apply. Chat only reaches bundles you can already open.
  • Conversations are not saved. Closing the chat ends the conversation, so copy anything you want to keep into your usual working document.

The benefit?

  • Get to a specific fact in a bundle of several hundred pages in seconds, with a citation to verify it against.

DocuSign signing tracked party by party​

Where a document goes to a claimant, a witness and a counter-signatory, you can now see where each of them has got to, drive claim status from it, and report on it.

In June we added support for witnesses and counter-signatories on claim site document signing. Until now the platform only recorded whether the whole signing round had completed or been declined, so the signing activity moved to 'Accepted' as soon as the claimant signed, and any claim status driven from it followed, whether or not the witness had. That made it impossible to tell a partly signed deed from a fully executed one.

What's changing?

  • A status per recipient: each signer, witness and counter-signatory is now tracked separately as they complete or decline.
  • Visible on the activity: a signing panel on the activity shows the state of the round while it is still in progress, instead of leaving you to read it out of the raw DocuSign response.
  • Stored as attributes: signer states are written to activity and claim attributes, so they come through in exports and can be reported on.
  • Usable in claim status rules: because the states are attributes, a claim status can now depend on all parties having signed rather than just the first.

What stays the same?

  • The signing experience is unchanged for claimants and for the other parties.
  • Activities recorded before this release do not carry the detail, and say so rather than showing a partial picture.

The benefit?

  • Tell a fully executed deed from a half-signed one at a glance, chase only the person actually holding it up, and pay out on the right claims.

Polish and bug fixes​

On your case sites​

  • Bigger file uploads: a new opt-in upload control raises the file limit from 20MB to 500MB and uploads each file as it is chosen rather than all at once on submit.
  • A new date picker: date questions can use a new opt-in calendar control with quick month and year navigation, replacing the browser's own picker wherever it is configured.
  • Answers no longer clear themselves: on forms that reveal questions as you go, answering one question no longer wipes the answer to another.
  • Activities in the right order: the most recently assigned activity appears first again, ahead of older open ones.
  • Claim progression order: timeline messages on a claim now follow the order the activities were actually submitted.
  • Reassigned registration activities: changing an answer after a registration activity is reassigned now updates the activity and case attributes.
  • Claim status from claimant activities: an activity that updates all of a claimant's claims no longer updates every claim belonging to the administrator instead.
  • Signing dates in the case's own timezone: a date captured on a case site can now be recorded and formatted in the case's timezone rather than UTC, so a retainer signing time reads correctly on the dashboard.
  • Unknown case site addresses: a request to a case site address that does not exist now returns a clean 'not found' rather than looking like an outage.

In the dashboard​

  • Emails from known contacts: an inbound email from a contact's address is now matched to that contact rather than treated as a prospect email.
  • Duplicate emails in Communications: an email delivered once no longer appears several times in the Communications tab.
  • Filtering communications by user role: the user role filter on the Communications tab now returns results.
  • HTML validation when composing email: composing an email from the Claims page now applies the same HTML check as 'Message to Administrator', with a validation message shown next to the 'Send' button.
  • Locked users in the recipient list: a locked user no longer appears as a selectable recipient when you compose an email.
  • Corrupt files and Medical AI: files that failed validation can no longer be selected as source documents in the 'Generate with Medical AI' panel.
  • Faster claim timelines: the claim timeline builds with far fewer queries behind the scenes, so it loads more quickly.
